Private by default. Cloud only when you ask for it.
Without an account, VoxaNote runs entirely on your phone — recording, transcription and summaries all happen on the AI models already installed, and nothing leaves the device. VoxaNote Pro is opt-in and can add an account, transcript sync, cloud AI on text, and optional cloud transcription. This policy explains exactly what leaves the device, where it goes, and only when you choose it.
Privacy policy
Free, without an account — on device only
If you don't sign in, everything VoxaNote produces — the audio, the transcript, the AI-cleaned version, the summary — is generated and stored entirely on your device, in the app's local database and file storage. None of it is uploaded anywhere. The only network call is the optional, one-way download of an additional AI model you choose to install.
On-device AI models
Transcription (Whisper) and the on-device writing assist (a small local language model) ship with the app and run fully offline. If you choose a different model in Settings, that one file is downloaded over HTTPS directly from Hugging Face, a public AI-model host. That download carries no personal data — it's a one-way fetch of a model file.
Account (Pro)
Creating an account is required only for VoxaNote Pro. You sign in with Sign in with Apple or a one-time email code, handled by Supabase, our authentication and database provider. We store the account identifier Supabase issues and, if you use email sign-in, your email address (with Sign in with Apple you can use Apple's private relay so we never see your real address). We use it only to identify your account and sync your data — never to advertise to you.
Cross-device sync (Pro)
When you're signed in to Pro and turn on transcript sync, your notes — titles, transcripts, summaries, tags, folders, chat and action items — are synced to our database (Supabase, hosted in the EU) so they appear on your other devices. Each account can only ever access its own data, enforced at the database level. Audio is not uploaded to our database; it stays on the device that made it. Cloud transcription, if you enable it, sends audio to OpenAI instead — see below.
Cloud AI (Pro)
Pro features that need cloud-grade quality — cloud summaries, transcript cleanup, action-item extraction and asking questions across your whole library — send the relevant transcript text to OpenAI to process the request and return a result. OpenAI processes this text to provide the feature and, per its API terms, does not use it to train its models. On-device AI (the Free experience) never sends anything to OpenAI.
Cloud transcription (Pro, off by default)
Pro's default transcription engine is still on-device Whisper. If you turn on Cloud transcription in the app, that recording's audio is sent to OpenAI (Whisper) so it can be transcribed in the cloud. Audio is used only to produce the transcript; it is not stored in our database and is not used to train OpenAI's models, per OpenAI's API terms. Turn Cloud transcription off and audio never leaves the device. Local transcription never uploads audio.
Subscriptions
Pro is an auto-renewable subscription sold through Apple. Purchases are managed by RevenueCat, which receives your subscription status tied to your account identifier so we can unlock Pro. Apple handles the payment itself; we never see your card details.
Microphone
Used only while you're actively recording a note. VoxaNote doesn't listen in the background. On Free, and on Pro with Local transcription, audio stays on the device. If you enable Cloud transcription on Pro, that recording's audio is sent to OpenAI to transcribe it.
Location
Optional, and asked for only while the app is open (never in the background). If you allow it, VoxaNote resolves your position to a place name — like "Union Square" — to label a note, using Apple's geocoding service. Denying location just means notes are labelled with a date and time instead.
Third parties
VoxaNote includes no advertising and no analytics or tracking SDKs. The only third parties that ever receive data are the ones that make Pro work: Supabase (accounts and transcript sync), OpenAI (cloud AI on text; audio only if you enable Cloud transcription) and RevenueCat / Apple (subscriptions). On Free, none of them are contacted.
Deleting your data
Deleting a note in the app removes it from that device immediately and, if you're signed in, from the cloud on the next sync. You can delete your entire account and all its cloud data from the account screen at any time — that removes your account and synced content from our database. Notes stored locally on a device remain on that device until you delete the app.
Children
VoxaNote is a general note-taking tool, not directed at children, and does not knowingly collect personal information from children.
Changes to this policy
If this changes, the date above changes with it, and the new version replaces this one at the same address.

Terms of use
Acceptance
By downloading, installing or using VoxaNote ("the App"), you agree to these Terms of Use. If you don't agree, don't use the App.
The service
VoxaNote records, transcribes and summarises voice notes. The Free tier runs entirely on your device. VoxaNote Pro adds an account, cross-device sync, cloud AI features and optional cloud transcription, as described in the Privacy policy above.
Your content
You own the recordings, transcripts and notes you create. You're responsible for having the right to record and process any audio you capture with the App, including obtaining any consent required by law when you record other people.
Subscriptions
VoxaNote Pro is offered as an auto-renewing subscription (Monthly or Yearly) purchased through the Apple App Store, sometimes with an introductory free trial. Unless cancelled at least 24 hours before the end of the current period, your subscription renews automatically for the same term and payment is charged to your Apple ID account.
Free trial
Where a free trial is offered, it converts automatically into a paid subscription at the end of the trial period unless you cancel before it ends.
Managing and cancelling
You can manage or cancel your subscription at any time in your device's Settings > [your name] > Subscriptions, or from Manage Subscription inside the App. Cancelling stops future renewals; you keep Pro access through the end of the period you've already paid for.
Pricing and changes
Subscription prices are shown in the App and on the App Store before purchase and may change from time to time. Where required by Apple's guidelines, we'll give notice before a price change takes effect for existing subscribers.
Refunds
All purchases are billed and processed by Apple. Refund requests are handled entirely by Apple under its own policies — we cannot issue refunds directly. Request one at reportaproblem.apple.com.
Acceptable use
You agree not to misuse the App: no reverse engineering, no interfering with its operation, and no using it to record or process content unlawfully.
Intellectual property
The App, its design and its underlying models and code are owned by us and protected by copyright and other laws. You keep ownership of the notes and recordings you create.
Disclaimer of warranties
The App is provided "as is". Transcription and AI-generated summaries may contain errors — we don't guarantee accuracy, and you should review anything important yourself.
Limitation of liability
To the maximum extent permitted by law, we are not liable for any indirect, incidental or consequential damages arising from your use of the App.
Termination
We may suspend or terminate access to the App for violation of these Terms. You may stop using the App and delete your account at any time.
Changes to these terms
We may update these Terms from time to time. The date above shows when they last changed; continued use after a change means you accept the update.
Governing law
These Terms are governed by the laws of Poland. VoxaNote is operated by Jakub Gruszczyk QBKSHOP (NIP 6423222018).

Do I need to make an account?
No. VoxaNote records, transcribes, summarises and lets you chat with a note fully on-device, without signing in. An account is only needed for VoxaNote Pro — transcript sync, cloud AI, optional cloud transcription and asking across all your notes.
Does transcription need an internet connection?
Not for the default engine. Transcription runs on the Whisper model on your device. The default model ships with the app; switching to a different on-device model needs a one-time download, then it's offline again. Pro can optionally turn on Cloud transcription, which needs a network connection and sends that recording's audio to OpenAI.
Where are my notes stored?
Always on your device. If you subscribe to Pro, sign in, and turn on transcript sync, a copy of the text (not the audio) is also synced to our database (Supabase, EU) so your notes appear on your other devices. Without Pro there is no cloud copy.
What leaves my device on Pro?
If you turn on transcript sync: note text (titles, transcripts, summaries, tags, chat, action items) goes to our database. Cloud-AI features send the relevant transcript text to OpenAI. If you turn on Cloud transcription, that recording's audio is sent to OpenAI Whisper to produce a transcript. Audio is never stored in our database. Local transcription never uploads audio.
How do I delete my account?
Open the account screen and choose Delete account. It permanently removes your account and all synced data from the cloud. Notes still stored locally on a device stay there until you delete the app.
Does VoxaNote need my location?
No. It's only used, if you allow it, to label a note with a place name instead of a timestamp. Deny it and everything else works normally.
